FOS Migration: Custom Email Domain Configuration

Overview

Following the migration of FOS to Portside’s AWS environment, customers will need to update the email field of their user profiles in order for outgoing emails to continue working. Alternatively, there is the option to configure FOS email settings to use a custom domain (e.g., @yourcompany.com) instead of the default @portside.co domain.

This guide outlines the steps to configure a custom email domain to ensure successful email delivery.


Required User Profile Email Change

Upon logging into FOS post-migration, please direct your users to update the email field in their user profiles if they intend to send email via FOS. The email field needs to either contain "fos-no-reply@portside.co" or be completely deleted so that the default Company email address is used. The default company email address has already been updated to "fos-no-reply@portside.co" as part of the migration. Please see the below screenshots for further clarification.

Understanding Email Authentication

To maintain email security and ensure successful email delivery, customers need to authenticate Portside’s email servers. The authentication process includes:

DKIM (DomainKeys Identified Mail) – Helps verify that emails are sent by an authorized server.
SPF (Sender Policy Framework) – Prevents email spoofing by authorizing specific mail servers to send emails on behalf of a domain.
DMARC (Domain-based Message Authentication, Reporting & Conformance) – Provides email security policies and reporting mechanisms.


Email Configuration Options

Customers have three options when setting up email for FOS in the Portside environment:

Option 1: Use Portside’s Default Email Domain (@portside.co)

  • All FOS-generated emails will be sent from an @portside.co address.
  • Customer Action Required: No additional setup is needed.
  • Portside Action: The FOS team will reconfigure the customer’s instance during the migration.

Option 2: Use Your Own Custom Domain (@yourcompany.com) with DNS Authentication

  • Customers can configure FOS to send emails from their own company domain by authenticating Portside’s email servers.
  • Customer Action Required:
    1. Update DNS records to authorize Portside’s email servers.
    2. Configure DKIM, SPF, and DMARC settings based on instructions from Portside.

Option 3: Use Your Own Custom Domain (@yourcompany.com) with an SMTP Server

  • Customers can provide SMTP server credentials that Portside will use to send emails.
  • Customer Action Required:
    1. Provide SMTP server credentials to Portside.
    2. Ensure the SMTP server is configured to allow FOS emails.

How to Request Custom Email Domain Setup

To configure your FOS email settings using Option 2 or 3, contact Portside Support at fossupport@portside.co.

If you choose Option 2, Portside will provide specific DNS configuration instructions for your IT team. If you choose Option 3, please be prepared to share your SMTP credentials securely.
