The Passport/Visa tab allows users to track and enter Passport and Visa details for the Passenger Record. The Passport Information is used when filing APIS and will be pulled from the Passenger Record into the trip when the crew member is assigned.
If a Person has any Visa information that needs to be entered in FOS it can be entered and stored on this Tab. This information can be pulled into Trips and Trip Sheets.
For a Resident Alien, the fields at the top of the tab can be use to enter in the Registration Number, Date Expiration and Country of Issuance.

Clicking the + button by the Passports & Travel Docs heading or the Visas heading, will create a new Passport or Visa Record.
Filtering Options
- Show Passports for Selected Visa - If the corresponding Passport Number is filled out within a Visa Record, highlight the Visa record. Then, select the checkbox to filter the Passport list to display the Passport Record that is referenced in the Visa record.
- Show Visas for Selected Passport - If the corresponding Passport Number is filled out within a Visa Record, highlight the Passport record. Then, select the checkbox to filter the Visa list to display the Visa records that contain that Passport Number.
- Show Inactive Passports - When checked, this filter will display any passport records that have been marked Inactive
- Show Inactive Visas - When checked, this filter will display any visa records that have been marked Inactive

Passport & Travel Docs Record Fields
- Employee - Is read-only and will pull from the Name field of the Personnel record
- Number - Enter the Passport or Travel document number
- Country - See IATA/ISO Field below
- IATA / ISO - Use the Lookup button to select the Country/IATA/ISO that the passport or travel doc is associated with. It will populate the Country and IATA/ISO Fields.
- Authority / Place of Issue - Enter in the appropriate authority or place of issue for the passport record
- Nationality - Use the Lookup button to select the Country of Nationality
- Birthplace - Use the Lookup button to select the Country of Birth
- Birthdate - Is read-only and will pull from the Birthdate field on the Reporting tab of the Personnel record
- Date Issued - Enter the Date Issued date as listed from the passport or travel document
- Expires - Enter the Expiration Date as listed from the passport or travel document
- Doc Type - Select the document type for the travel document (EX: For passports, select PP)
- ID Card - Used to enter in an ID Card number
- Note - Enter in any additional notes about this passport or travel document
- Image File Name - Use this field to select an image or file of the passport or travel document
- Email Alert - This will record if a FOS Email alert was sent regarding the upcoming expiration of the record
Passport Record Checkboxes
- FOS Mobile - To allow the passport information to be viewed in FOS Mobile, this checkbox must be selected. Please note, in the "Doc Type" code, you can set any doc type code as a "Yes" for FOS Mobile so that each passport record does not need this box checked, as it will take on the default of the code.
- Primary - Use this checkbox to denote that the passport is the primary passport record. When checked, you will see a "Yes" in the Primary column on the main Passport/Visa tab).
- Raised Seal Birth Certificate - To denote that the record is an official birth certificate and not an informational copy. The Raised Seal Birth Certificate is proof that the birth certificate is government issued and a certified document
- Inactive - For records that have expired or are no longer used, use the Inactive checkbox so that the information is retained in FOS, however, no longer visible in the list (Unless Show Inactive Passports is selected on the main Passport/Visa tab).
- Not Available - For a passport undergoing updating or in the hands of a government agency, use the Not Available checkbox so that the passport record is not pulled in as the passport for a trip.

Visa Record Fields
- Employee - Is read-only and will pull from the Name field of the Personnel record
- Country - See IATA/ISO Field below
- IATA / ISO - Use the Lookup button to select the Country/IATA/ISO that the visa is associated with. It will populate the Country and IATA/ISO Fields.
- Visa Number - Enter the visa number
- City of Issuance - Enter in the appropriate city of issuance for the visa record
- Number of Entries - Enter in the number of entries that this specific visa record allows
- Entries Used - Use this field to keep track of the number of times the visa has been used
- Visa Type - Enter the type of visa that it is (EX: Business, Tourism, etc)
- Date Issued - Enter the Date Issued date as listed from the visa
- Date Valid - Enter the Date Valid date as listed from the visa in which the personnel may start using it
- Expires - Enter the Expiration Date as listed from the visa
- First Used - Use this field to keep track of date the visa was first used
- Last Used - Use this field to keep track of date the visa was last used
- Will Expire X if not used within X Days - If this type of visa is only good if used within a certain amount of days, use these fields to enter the appropriate date and days
- Passport Number - Enter the passport number that is associated with this visa. As noted above, this is used for filtering purposes on the main Passport/Visa tab.
- Note - Use this field to enter in additional notes about this visa record
- Image File Name - Use this field to select an image or file of the visa
- Email Alert - This will record if a FOS Email alert was sent regarding the upcoming expiration of the record
