Pax Tab

The Pax Tab holds mostly general information about the passenger along with a few other important features depending on the operation.


Name Fields
  1. Name - This field will automatically be populated with the names listed in the First, Middle, Last fields. If a passenger goes by a nickname the checkbox next to the right of the name field, when marked, will allow the user to override the name listed. This is the name that will appear in trips and on trip sheets.
  2. Initials - This field does not have to be unique like many other ID fields throughout FOS, however it is recommended to maintain the same naming convention used throughout the program.
  3. First, Middle, Last Name - If submitting e-APIS from FOS these fields need to be populated exactly as they appear on the passengers passport.
  4. Full Name - This field will automatically be populated with the names listed in the First, Middle, Last fields.
  5. Company - Users may manually add the company the passenger is associated with.
  6. Title - Users may manually add a title or select the lookup button to select a title from the notes module for this passenger.
  7. Salutation - Users may manually add a salutation for this passenger.
  8. Abbrev/Req Name - The name entered here will be displayed as the requester name within a quote or a trip.
  9. Nickname - If the passenger has a nickname it may be entered here.
  10. Employee Number - A passengers employee number may be entered in this field.

Record Type
This section allows users to specify if this record pertains to a person or a company.
  1. Passenger/Individual - When the passenger option is selected the header of the record is in white.


  1. Company - When the company option is selected the header of the record is in blue.

Check Box Options
  1. Requester - This will designate the client or passenger as a requester so that they can be selected as such withing a quote or trip.
  2. Authorizer - This will designate the client or passenger as an authorizer so that they can be selected as such withing a quote or trip.
  3. Restricted Trips - This option will mark the trip as restricted when this passenger has been added to the trip.
  4. Frequent Traveler - This option will designate this passenger as a frequent traveler with the operator.
  5. Special Handling - If the passenger has any special requirements like needing a special brand of drink on board the aircraft, this option will produce a pop up message when assigning the passenger to a trip. Comments and specifics may be added in the special handling notes section on the preference tab.
  6. Flight Following - If flight following alerts have been turned on in company data this requester will receive flight following messages when flight following has been completed for the leg.
  7. Food Allergy - If a passenger has a food allergy this option will prompt a popup warning to appear when adding the passenger to a trip. Notes regarding the allergy may be added in the Catering notes field on the preference tab.

This sections is primarily for 91 operators who need to report and bill passengers for the personal use of business aircraft.
  1. Personal SIFL Rate - If the Passenger is a friend, spouse or child charges cost to host.
Note: This should not be checked if the passengers primary travel purpose is business.
  1. Emp/Spouse/Dep - If the passenger is an employ spouse or dependent this option will need to be checked.
  2. Control Employee - Generally Top People in the Company i.e. CEO/CFO Etc. Generally, determined by a specific position/title or owning more than 5% of the corporation. Guests of a control employee would also have this box checked.
  3. Security - If for personal reasons there is some type of risk for them to fly commercially they are billed at a different rate than a Control Employee. – This is not someone acting as security on the flight. If spouse or dependent is included in the “Bona Fide Business-Oriented Security Concerns”, you will need to check this box for them as well or if they are traveling with the employee with the “Bona Fide Business-Oriented Security Concerns”, but if they are not traveling with the employee an additional study will need to be completed to include them at this rate.
  4. SEC Specified - This Would be used for operators who also have to report to SEC.
  5. Entertainment - This also applies to SEC reporting and would be selected if a flight was conducted for entertainment purposes.

  1. Problem - If the passenger has a history of issues users may mark them as a problem passenger. When adding the passenger to a trip a pop up will appear notifying the user that this is a problem passenger.
  2. Inactive - Rather than deleting a passenger, they should be marked as inactive which will hide them in the passenger list.
  3. Tax Assist - This may be selected to show up on certain reports.
  4. Crewmember - Crewmembers can be easily added to the passenger database by populating their crew ID in the passenger initial field, marking the crewmember check box, and saving the record. Doing this will populate most of the crewmember's information in the passenger record.
  5. Overflight Permit - This option was once used to show that a passenger was listed on an operators border overflight exemption. It is no longer required for passengers to be listed on this document, therefore it does not need to be marked.
  6. No Fly List Cleared - It is not recommended to use this option. With it checked the passenger will never be checked against the No Fly list.

Address Fields
  1. Office - The passenger or client's office address may be added here.
  2. Home - The passengers home address may be entered here.
  3. APIS/Secondary Residence - If a passengers home address is not within the US, FOS will look to this address field to submit their address while in the US.
  4. E-Mail - If both an office and home email address are populated, place a checkmark int he box to the right of the address you want used when emailing from FOS. This includes automated reports. 
  5. Emergency Contact - A passenger's emergency contact may be added here.
  6. Text Msg - A text message address may be added in this field.
  7. Web Page - If there is a web page associated with a passenger it may be added here.

Passenger Login
  1. Passenger Login - This may be used for setting up a restricted login for a passenger or client. For more information please refer to the setup help guide here.
